How Acknowledged works

Getting started

In Microsoft Teams, open Apps, find Acknowledged and add it to a team. For private and shared channels, add Acknowledged to the channel too. Open the channel's ⋯ → Manage channel → Apps to add it there. To post, open the channel, select Actions and apps (+) under the message box, then Acknowledged → New acknowledgement. On phones, Teams may not offer New acknowledgement in private and shared channels; start announcements there from Teams on desktop or the web. For help, type @Acknowledged help in a channel, or help in your chat with Acknowledged.

Where Acknowledged works

Acknowledged works the same way in standard, private and shared channels of a team where it is added, including their channel meetings. One difference is deliberate: for private and shared channels, the messages Acknowledged sends outside the channel, such as reminders, don't show the announcement's title, text, author or channel name. A shared channel gets Acknowledged from its host team: Teams doesn't let a team that the channel is shared with add apps to it. In one-to-one chats, group chats and meeting chats outside a channel, New acknowledgement explains how to start from a channel instead.

Posting and acknowledging

An announcement goes to everyone in the channel when you start it, except you and anyone you exclude. People who join the channel later are not included. Acknowledged posts the announcement as a new post in the channel, also when you start it from a channel meeting's chat. Everyone it goes to confirms with one click on Acknowledge.

Status and CSV export

Only the person who posted an announcement can open its Status: who has acknowledged, who hasn't yet, and who can't get reminders and why. They can export the list as a CSV file through a download link that works for 15 minutes; anyone they share the link or the file with can read it. For private and shared channels, the link also keeps working after the sender leaves the channel. It stops working once Acknowledged records that the app was removed from the channel, and in any case 15 minutes after it was issued.

Reminders

With reminders on, Acknowledged reminds people who haven't acknowledged in a private chat, 24 hours after posting and at the due date. The sender can also press Remind now in Status, at most once every 12 hours. Acknowledged reminds people only where Teams allows it — not people from other organizations, and some organization policies block reminders. Anyone can stop reminders from the announcement in the channel.

People from other organizations

In a shared channel, people from other organizations receive announcements, acknowledge them and can type @Acknowledged help for help. People from other organizations can acknowledge announcements here, but cannot create them in this release. Teams doesn't deliver Acknowledged reminders to them; the sender's Status shows this for each of them.

Guests and channel meetings

Guests can use everything Teams makes available to them in standard and private channels. Teams doesn't let guests join shared channels. In channel meetings, Teams hides message extensions from guests and from federated participants (people from another organization who join through Teams external access), and from everyone while a federated participant is in the meeting. Then no one can start an announcement from the meeting chat. Acknowledging an announcement still works wherever Teams shows it.

Permission and sign-in

When added to a team, Acknowledged asks for permission to read the membership of that team's channels. This permission technically covers all channels in that team. Acknowledged uses only the Teams Bot Framework to read the conversation where you use it, and requires the app to be added to private and shared channels. No separate sign-in is needed. A team owner or an administrator may need to enable or approve installation, depending on your organization's policies.

Deleting your data

Removing Acknowledged from a team, private channel or shared channel deletes that scope's data 30 days after Acknowledged records the removal. If Acknowledged finds the app there again before then, the deletion is cancelled and the remaining data is kept. To have data deleted sooner, email us from an address in your organization and tell us which team or channel. If you took part in a shared channel from another organization, email us from your own organization's address; we check the request ourselves and delete only records about you. The privacy policy has the details.
